Sync Tasks, Contacts, and Calendar with Outlook

The latest Outlook for Windows provides seamless synchronization of email, tasks, contacts, and calendars. Depending on your hosting platform (Microsoft Exchange, Microsoft 365, SmarterMail, or cPanel), the setup process differs slightly. Follow the instructions below to enable full collaboration features.

Microsoft Exchange / Microsoft 365

  1. Open Outlook and click Settings → Accounts → Add Account.
  2. Enter your full email address and click Connect.
  3. Outlook will automatically detect Microsoft Exchange or Microsoft 365 settings.
  4. Enter your password and approve any multi-factor authentication prompts.
  5. Once connected, Outlook will sync tasks, contacts, and calendar items automatically.

Note: This is the recommended method for full synchronization.

SmarterMail (Exchange ActiveSync)

  1. Open Outlook and go to Settings → Accounts → Add Account.
  2. Select Exchange ActiveSync as the account type.
  3. Enter:
    • Email Address: Your full email address
    • Server: Your SmarterMail server (e.g. mail.yourdomain.com)
    • Username: Your full email address
    • Password: Your email password
  4. Click Connect. Outlook will begin syncing tasks, contacts, and calendars.

Note: Exchange ActiveSync is available only on SmarterMail Professional editions.

cPanel (CalDAV & CardDAV)

cPanel supports synchronization of calendars and contacts using CalDAV and CardDAV. Outlook does not natively support these protocols, but you can use third-party add-ins.

  1. Log in to cPanel and navigate to Email Accounts → Connect Devices.
  2. Copy the CalDAV (calendar)CardDAV (contacts) URLs.
  3. Install an Outlook add-in such as Outlook CalDAV Synchronizer.
  4. Paste the URLs into the add-in settings and enter your email credentials.
  5. Outlook will now sync your contacts and calendar with cPanel.

Note: Tasks are not supported via CalDAV/CardDAV. For full collaboration features, consider SmarterMail with Exchange ActiveSync.

Tasks Integration

In the latest Outlook, tasks are managed through Microsoft To Do. Once your account is connected, flagged emails and Outlook tasks automatically sync with To Do, ensuring they are available across desktop, web, and mobile.

✔ Tip: For complete synchronization (email, contacts, calendar, and tasks), use Microsoft Exchange, Microsoft 365, or SmarterMail with Exchange ActiveSync. cPanel users can sync contacts and calendars via CalDAV/CardDAV, but tasks require Microsoft To Do.
